Position Description:

The Healthcare Education Operations Manager is a career development position within the Healthcare Partnership team responsible for operations of our healthcare education programming. The individual within this role will be responsible for submitting, managing and tracking funding submissions through sponsor funding portals (grants and sponsorships), helping to assemble proposals for supporter/funder consideration, funding report requirements, supporting projects related to fulfilling sponsor/supporter recognition at a national and field level, coordination with internal stakeholders including finance, care teams and field operations. S/he will work closely with internal stakeholders to gather information for funding submissions, sponsor recognition fulfillment and reconciliations. Specific skills include: Advanced level Microsoft Office skills including Word, Excel, PowerPoint, Outlook and; Ability to multi-task, prioritize and organize assignments while working under pressure. Must be able to work well in a team environment, take initiative eagerly and work independently as well to be an effective team player. This position is flexible to the location it will sit out of.


  • Day-to-day management of sponsor fulfillment, including:
    • Contract completion
    • Summary of contract deliverables
    • Coordination with program implementation leads
    • Coordination with finance on billing and funding reconciliations
    • Post creation of fulfillment report
  • Management of funding submissions to pharma/biotech portals
    • Assembling initial proposals based upon templated documentation
    • Gathering information for submissions
    • Coordination with internal stakeholders for missing information
    • Tracking and reporting at conclusion of program support
  • Direct communications and coordination with financial supporters
  • Maintaining internal status reports and activity timelines to fulfill deliverables
  • Tracking and reporting in as needed
  • Coordinate and liaise with financial team on billing and proper account crediting, assisting the department with financial maintenance and tracking (check request, invoicing, budget tracking, etc.)
  • Develop, initiate and maintain productive, collaborative working relationships with key internal and external partners, including but not limited to, donors, sponsors, large corporations, partners, internal stakeholders, and vendors
  • Provides general operational support as needed
  • Willing to assist all team members to meet deadlines and ensure successful projects
  • Maintains inventory and forms for administrative, office & projects
  • Other duties as assigned


  • Bachelor’s Degree preferred or appropriate experience
  • Must have 2-3 + years of program management, program operations and support; experience with supporting multiple programs
    and initiatives preferred
  • Basic understanding the pharma/biotech industry and medical education preferred
  • Client services/account management and/or healthcare agency management experience and skills preferred
  • Attention to detail
  • Experience in a role that works with both external and internal stakeholders
  • Ability to communicate in a consistent, proactive and inclusive manner
  • Must be able to work in a dynamic, complex, fast-paced organization
  • Experience with a CRM software, is a plus
  • Outstanding communication and organizational skills
  • Very strong computer skills and ability to use existing technology to achieve desired results.
  • Data-driven thinker with excellent analytical skills and ability to identify and respond to issues/opportunities in a timely
  • Comfortable interacting with families from diverse disability, cultural and economic backgrounds within a semi-medical
  • Ability for occasional travel
