Job Description

Position Description:

An Accounts Payable Clerk is an organized professional supporting administrative functions of the Accounts Payable department. The AP Clerk reports to the Accounts Payable Manager and works closely with all levels of the MDA Team.

Responsibilities:

  • Input invoices into accounting system.
  • Fulfill check copy requests, check to see if checks have been reconciled; obtain copies from bank sites for field offices.
  • Keep track and prepare journal books throughout the year.
  • Process manual checks.
  • Respond to vendors and field offices as necessary regarding problems, questions, or concerns.
  • Provide print outs of Account/Vendor history to staff when necessary.
  • Post journals and requisitions throughout the month for the monthly closing.
  • TIN Match Tax ID numbers for New Vendors in the IRS website.
  • Enter the New Vendors into Financial System.
  • Make changes to vendor information in financial system, requested by field offices (addresses, payments terms, Class ID’s) and maintenance of the Vendor Master file.
  • Review invoices to make sure all the information is accurate and the documentation is in order to justify payment with proper approvals.
  • Perform other duties as assigned

Qualifications:

  • High School Diploma or Equivalent or Associate’s Degree (in Accounting or Business preferred) and two years of experience required.
  • Computer skills including Microsoft Office Suite products (experience with Great Plains preferred) and 10-Key required.
  • Ability to maintain confidentiality on sensitive issues.
  • Strong oral and written communication to interface with all levels of MDA employees.
