Job Description

Position Description:

The Procurement Specialist manages the procurement process in a cost-efficient manner for all purchases made for the operation of MDA.  He/She reports to the Associate Director of Procurement but interacts with and supports all MDA locations, complying with all controls and audit standards of the procurement process.

Responsibilities:

  • Manage the procurement process from submission of purchase requests through payment of vendor invoice.
  • Ensure the completeness and accuracy of purchase requisitions and purchase orders. 
  • Resolve questions for MDA stakeholders and suppliers.
  • Negotiate with suppliers for best pricing and terms.
  • Competitively bid jobs that are not covered by contractual agreements.
  • Identify sources for special items, or requests that require quick turnaround.
  • Review submitted art files for compliance with MDA identity guidelines.
  • Manage the proof approval process in a timely manner, ensuring job requests are not delayed by missing approvals.
  • Monitor the inventory level for program materials, and notify program management when on hand inventory level has reached the reorder point.
  • Assess vendor pool and investigate potential new sources as necessary.
  • Manage front to back procurement for special events hosted the field.
  • Special projects and other duties as assigned.

Qualifications

  • Bachelor’s degree or equivalent experience.
  • 3-5 years of procurement or related experience.
  • Experience in Event Planning or Special Event procurement, preferred. 
  • Proficiency with Microsoft Office and Outlook.
  • Intermediate negotiation skills.
  • Accomplished interpersonal skills and the ability to interact with all levels of the MDA organization and with outside suppliers.
  • Ability to multi-task, establish priorities and organize efficiently.
  • Experience with print and apparel, preferred.
